Professional Association: VBAG is an umbrella organization that certifies and registers professionals in complementary healthcare.
Complaints and Disciplinary Procedures: Disciplinary procedures are a system of law in which the disciplinary board assesses whether a physician or other healthcare provider has worked according to the applicable professional standards. Disciplinary procedures are intended to promote and monitor the quality of professional practice.
COMPLAINTS OFFICER: The COMPLAINTS OFFICER is the intermediary between the complaints and disciplinary law of the VBAG PROFESSIONAL ASSOCIATION and the disputes committee.
DISPUTES COMMITTEE: The DISPUTES COMMITTEE provides for the resolution of disputes when clients and healthcare providers, despite the efforts of an independent complaints officer, cannot resolve a complaint. The Healthcare Quality, Complaints and Disputes Act (Wkkgz) has been in effect since January 1, 2017. Article 18 of this law describes the obligation to join a recognized disputes committee for all healthcare providers in the Netherlands.
WGBO: The WGBO sets out the rights and obligations of people receiving care.
Client/patient: A natural person who receives care.
Treatment: the service offered by HEALTHCARE PROVIDER Karin Niemann/Heart Coherence after the express written consent of the client/patient, which falls within the training area of the HEALTHCARE PROVIDER.
Applicability and Formation of the Agreement
Unless otherwise agreed in writing, these general terms and conditions apply to all offers and agreements regarding assignments to be carried out by HEART COHERENCE PRACTICE.
The applicability of any purchasing or other terms and conditions of the client is explicitly rejected.
Changes, additions, and/or extensions to the agreement, or conditions deviating from these general terms and conditions, are only binding for HEART COHERENCE PRACTICE if they have been expressly agreed upon in writing between the parties.
Care Provider
The healthcare provider acts in accordance with the guidelines set out in the professional code of the VBAG PROFESSIONAL ASSOCIATION.

Treatment
Treatment begins with your written consent and an intake interview, after which a treatment plan will be developed together with you. This treatment plan will be included in your file. Treatment will be carried out according to the agreement, incorporating your own goals, wishes, working arrangements, and discussed working methods.
This will serve as the guideline for the TREATMENT and will be signed during the 1ST OR 2ND session.
No rights can be derived from this draft session. Regular evaluation sessions are held in which you and the healthcare provider report both verbally and in writing on your progress within the therapy.

The sessions last 1.5 hours or a maximum of 2 hours and take place regularly, so that a continuous process can develop.
You can consult the healthcare provider without a referral from a doctor or specialist. However, if additional information is required, the healthcare provider will contact your general practitioner, occupational health physician, or other specialist. This will always be done in consideration and consultation with you, and you will sign the treatment agreement for this transfer. If a different type of treatment is required, the healthcare provider will refer you to another healthcare institution or specialist.
In the event of prolonged illness, a replacement will be arranged in consultation with you, or the TREATMENT will be stopped.
The healthcare provider at PRAKTIJK HERAT COHERENCE works as an independent contractor/freelancer/self-employed person.
For companies whose employees use the services of PRAKTIJK HERAT COHERENCE, a model agreement can be concluded if necessary for providing individual guidance, workshops, or training.
Payment
The cost per therapy session is €150.00 for 1.5 hours and €200.00 for 2 hours. For an overview of rates, please visit the website: https://heart-coherence.com/home/ or in the waiting room of the practice.
You can pay the invoice in cash, by debit card, or by IBAN transfer using a common and accepted payment method in the Netherlands. You will receive the invoice the same day by email or immediately after the treatment. You can also use this invoice to (potentially) claim the costs from your health insurance.
Payments must be made within 30 days. In the event of late payment, statutory interest and administration fees may be charged. If payment is not received, a debt collection agency will be contacted. Any additional costs incurred will always be passed on to you.
HEART COHERENCE PRACTICE is registered in the AGB register, which means that the treatment may be (partially) reimbursed by the supplementary package of health insurers. You must inquire in advance about your reimbursement options. It is important to know that the
healthcare provider is a member of the VBAG PROFESSIONAL ASSOCIATION and affiliated with the RBCZ umbrella organization and meets the requirements for Basic Medical Knowledge. More information can be found on the website: https://heart-coherence.com/home/
Cancellation
It is possible that you may become ill or that an appointment cannot be kept for other reasons. You must notify us of this at least 24 hours in advance. If you do not cancel in time, you will be charged 50% of the costs, this also applies to the first appointment. The costs of this cancellation cannot be claimed from your health insurer.
Cancellations are preferably submitted by phone/text message/WhatsApp/email, with the date of receipt being binding.
File Management
The healthcare provider is legally obligated to maintain records. All sessions are conducted by Karin Niemann.
No rights can be derived from this report. You have the right to request and view these reports and evaluation reports at any time.
The file remains the property of the healthcare provider. It will be destroyed 20 years after the completion of your treatment process or the last contact.
The healthcare provider has a duty of confidentiality and will handle your file carefully and confidentially. Information will only be requested with your permission and/or provided to other healthcare providers, family, employer, or other involved parties.
Matters such as the right to information, privacy practices, and consent to treatment are laid down in the Medical Treatment Contracts Act (WGBO) and the guidelines of the KOEPEL RBCZ and the PROFESSIONAL ASSOCIATION VBAG. These can be requested from the healthcare provider.
Complaints Procedure
In case of complaints, the first goal is to discuss your dissatisfaction with the healthcare provider and see if you can reach a resolution together. Complaints can be submitted verbally or in writing to karin@heart-coherence.com.
After receipt, the complaint will be discussed with you as soon as possible, within 2-4 weeks, and solutions or further steps will be explored. If this is not possible for any reason, you will be informed by PRAKTIJK HEART COHERENCE. After completing the complaints procedure, you will receive written confirmation of the outcome. Everything will be documented. The information obtained will be handled with care.
If you are unable to reach a resolution together, you can rely on the independent complaints procedure of the PROFESSIONAL ASSOCIATION VBAG, COMPLAINTS OFFICER, or the DISPUTES COMMITTEE. PRAKTIJK HEART COHERENCE thus complies with the requirements of the Healthcare Quality, Complaints and Disputes Act (Wkkgz).
When you file a complaint through the PROFESSIONAL ASSOCIATION/UMBRELLA, COMPLAINT OFFICER, or DISPUTES COMMITTEE, you must always inform the healthcare provider in advance.
Liability
You are responsible for providing the correct information, whether requested or not, during the treatment process. You are responsible for your own process. This means that if you feel the treatment is not helping, if you do not understand something, or if you disagree with something, you must inform us. This also applies to any changes regarding medication use, health, health insurance, GP, name and address details, etc.
PRACTICE HEART COHERENCE is not liable for any material damage you may have suffered while visiting the practice. This also applies to lost items or damage to your materials during or after a visit to PRACTICE.
PRACTICE has professional and business liability insurance. This liability insurance protects PRACTICE against the financial consequences of errors made or damage caused during the practice of their profession. If the healthcare provider is found liable for any damage suffered, the terms and conditions of the INSURER's professional and business liability insurance apply. HEART COHERENCE PRACTICE also has legal expenses insurance with INSURER NH1816 Insurance, which covers the WKKGZ (Dutch Child Abuse and Violence Reporting System).

Applicable Law
The legal relationship between the healthcare provider and clients/patients is exclusively governed by Dutch law. All disputes relating to or in connection with this legal relationship may be settled by the competent court in DORDRECHT, THE NETHERLANDS, in addition to the legally competent court. No rights can be derived from the above.
