Treatment Agreement
A treatment agreement applies to all consultations at Heart Coherence. This agreement is signed digitally during the intake process. I am not permitted to provide treatment without your consent. By booking a consultation, you give your consent and confirm it through the sample treatment agreement.
Intake information
During the intake and follow-up sessions, you are required to share relevant information about your health and complaints. Only with complete and accurate information can I provide appropriate support and treatment. I cannot be held responsible for any consequences resulting from failure to meet this duty.
In return, you can expect transparency from me: you have the right to access your file at any time. Please make an appointment for this. Your file will be stored in accordance with the legally required retention period. In the event of my unexpected death, all client files will be destroyed—unless I am working at that time with a trusted colleague who will take over my practice. In that case, clients will be contacted; if contact is not possible, the file will be destroyed regardless.
My Legal Obligations
I am required to act in accordance with Dutch legal regulations. The rights and obligations of both the client and the practitioner are laid down in the Medical Treatment Agreement Act (WGBO), the Quality, Complaints and Disputes in Healthcare Act (Wkkgz), and the General Data Protection Regulation (GDPR).
Karin Niemann is bound by the privacy regulations of the Association for the Promotion of Alternative Medicine (VBAG). You can review these regulations on the VBAG website at www.vbag.nl. Additionally, the regulations of the WGBO (Medical Treatment Contracts Act), Wkkgz (Quality, Complaints and Disputes in Care Act), and the AVG (General Data Protection Regulation) also apply, which can be accessed at www.wetten.overheid.nl, www.rijksoverheid.nl, and www.autoriteitpersoonsgegevens.nl respectively.
Collaboration with Conventional Healthcare
Energy therapy is complementary, not a replacement
A session with me is not a substitute for medical advice or treatment by your general practitioner or specialist. My treatments can serve a preventive purpose or be a valuable addition before, during, or after a conventional medical trajectory.
Ongoing medical supervision is essential
If you have a chronic illness or hereditary risk factors, regular medical check-ups remain necessary. If you’re in doubt about your health, always consult your doctor first.
Medication use and safety
During the intake, I will ask about your use of both conventional and alternative medications. This helps me work safely and assess potential interactions. Please also inform me of any changes in your medication during the treatment process.
Finding a healthy balance between conventional and complementary care
I will never advise you to stop or disregard regular medical treatment. If you have questions about balancing conventional and complementary care, I provide honest and informative answers based on my expertise. However, you remain fully responsible for your choices. Please talk to your doctor as well — more and more physicians are open to collaboration with complementary healthcare providers.
No guarantees — but full commitment
I cannot promise healing — no one can. But I will support your self-healing capacity with care, integrity, and presence. Healing happens from within, in collaboration with appropriate professional support, whether conventional or complementary.
Cooperation with your doctor
When needed for your health, I work under the supervision of your (general) practitioner. I only share information with your physician with your written consent. In some cases, I may decide not to start a treatment if collaboration with your doctor is necessary but not possible.
During chemotherapy or other intensive treatments
Energy therapy is safe and can be applied without concern during chemotherapy or other medical treatments. It may help reduce pain, promote relaxation, and ease the side effects of medical interventions — without causing side effects itself.
Terms & Conditions
My core principles regarding cooperation with conventional healthcare are also outlined in my general terms and conditions. By booking a session, you agree to these terms.
Insurance & Reimbursement
I am a registered member of the VBAG and the RBCZ. My treatments are reimbursed for a part by all Dutch supplementary health insurances that cover energy therapy.
If you’re unsure whether your insurance reimburses these treatments, call your insurer and ask whether they cover treatments by a VBAG-registered therapist.
You cannot claim reimbursement based solely on information I’ve given — always rely on your insurer’s official policy.
No Reimbursement
My sessions almost always consist primarily of energy therapy, supported by other therapeutic methods. If you specifically request a session consisting only of verbal counseling, it will not be eligible for reimbursement through your insurance. Mentoring sessions are also not covered by insurance.
Privacy
In accordance with the General Data Protection Regulation (GDPR), sensitive personal data may be included in your file if relevant to your treatment. In addition, personal information is collected that is necessary for administrative purposes, insurance claims, and maintaining your treatment records.
Your data is stored securely. Physical files are kept in a locked cabinet, and digital records are stored in a secure online environment that is not accessible to third parties. Your information will never be shared without your explicit consent.
You may give permission for your data to be shared with other healthcare professionals (such as your general practitioner), or for anonymized data to be used for scientific research or educational purposes.
Reports for general practitioners or medical specialists are sent through a secure online environment or, if preferred, by post. If sent by post, no liability can be accepted for loss or damage. You may request registered mail for an additional fee. In all cases, your written consent is required before any medical information can be shared with others. This website does not use cookies.

Treatment of minors
I only treat children under the age of 12 in the presence of a supervisor (parent, guardian, or other responsible adult). For young people between the ages of 12 and 16, the presence of a supervisor is not required. For children under the age of 16, I draw up a written treatment agreement, which must be signed by both parents. This will be presented during the intake or sent by email beforehand.
Handling Complaints
If you have a concern about a treatment, we will first aim to address it directly with you.
You also have the option to involve an independent complaints officer. They can assist with formulating the complaint or addressing any dissatisfaction and help in seeking a resolution. The therapist has the right to be informed about this process. Our practice is affiliated with Quasir.
If you find the support of the complaints officer or the way your complaint or dissatisfaction was handled unsatisfactory, you may appeal to the “Zorg Geschil” disputes committee.
